It's simple! No hardware to buy, no software to configure, no server to manage. Your documents can be stored on Virtual Town Hall's secure servers for public and private access. You can make minutes of any board available to the general public with a direct link from your website! You can make other public documents, such as invoices, readily available to your staff with a private portal requiring a UserID and password to access.
How do we do it? Again, it's simple. We send in a team to work with your staff to scan and organize your printed documents. We take that content back, load it onto our servers and set up the portals so you can easily retrieve any document scanned. Documents will be indexed by type, subject, date, etc. In fact, since a copy of each document is available on our servers as text you can even search for documents by content. Once the documents have been identified the visitor can view them as text or as Acrobat PDF documents, which will include images, logos, stamps, notes and signatures.
You will be up and running before you know it. Since you don't have to purchase hardware and software you can dedicate your funds to the actual scanning service. Since we send in a team to help, you aren't faced with having to start and stop the project whenever people are available.
On a periodic basis you may want us to come back in and scan additional content to add to your database.
What does it cost? Surprisingly little. The cost of scanning will depend on the types of documents and whether you can provide support staff to our team to prepare documents (identify type and unstaple) and refile documents (restaple and put them back in the box). Generally this will run between $1,200 and $1,600 per day. Storage on our servers will be an affordable monthly service fee based on the volume of content, not the amount of traffic or the number of portals.
